PURPOSE:
To coordinate a number of WACUHO Committees to produce Annual Conference.
RESPONSIBILITIES:
- Oversee the preparation and performance of the Annual Conference. Work closely with the Association President, and the Chairs of Host, Program, Exhibits & Displays, and Corporate Relations Committees.
- Oversee conference contract with hotel/conference site and coordinate all conference needs with hotel/conference site representatives.
- Convene the Conference Committee Chairs on a regular basis to insure a high level of communication, coordination and budget preparation.
- Coordinate the on-site Meeting with Executive, Host, Program, and Exhibits & Displays and Corporate Relations committees (early June)
- Prepare preliminary Timelines, budget and tickler meeting(s) (May/June)
- Establish the Transition Meeting with prior year Conference Committee Chairs after final report is completed in spring or early summer.
- Call all conference Committee Chairs update meetings (October, December and February)
- Coordinate the preparation of individual committee budgets to assure overall zero balance or "break-even" budget of the Annual conference. Monitor the planning process from a fiscal point of view.
- Submit a welcome letter to the membership in January to the Program Committee Chairs for inclusion in the program notebook.
- Insure that ACUHO-I District Representative, PACURH President and all WACUHO Past Presidents no longer in the field receive invitations to the conference. This may be asked to be done by the Association President. See the Professional Courtsey section for details.
- Co-host, with the Executive Committee liaison, a WACUHO sponsored pre-conference reception for the Annual Conference committee the evening before the start of the conference (not to exceed $500).
- Create a clear workbook and detailed evaluation to succeeding Annual Conference Chair(s).
- Prepare and submit an annual report to the Vice President by May 1st which summarizes the Annual Conference committee's activity during the year.
